Update the Name of a User/Extension Number
Review how you can update a user's name to ensure they are shown and announced correctly using the Stratus web portal.
Table of Contents
If you have a new employee taking over an old employee’s extension or an employee that has had their name changed, you can edit their extension number's settings to reflect this name change.
Scope: Office Managers have the ability to update any user's name. Site Managers can update the names of users assigned to the Site they manage. Call Center Supervisors can update the names of Call Center Agent users. Basic users can update their own name.
There are many spots in your phone system where a user's name may be listed or announced. It is essential to consider updating the following for the user if they apply:
- The user's profile name so that their name appears correctly for internal calls, the phones' directories, and the phones' BLF keys.
- The user's voicemail greeting if the user has a mailbox with a personalized greeting that mentions their name.
- The BLF keys for phones if your BLF keys utilize labels.
- The user's Recorded Name if your company allows callers to use a Dial-by-Name Directory through an auto attendant.
- Any auto attendant greetings that list that user as an option to select.
Adjust a User's Profile Name
- Navigate to the Users page.
- Use the search bar to find the extension number or name of the user whose name needs to be updated.
-
Click their name to view their Profile settings.
- In the Profile Information section, use the First Name and Last Name boxes to update their name.
- Scroll down to the Change Account Security section to update the user's email address.
Quick Tip: This email address will receive this user's email notifications for Stratus password resets and voicemail notifications.
- Click the Save button at the bottom of the page.
✔ Now the user's name should be updated for the Stratus web portal and any softphones they may be using. Internal users that receive a call from this user should see the correct name now.
If your users have BLF keys that do not have labels, the correct name should appear for this user's BLF key after the phones resync to match changes made in Stratus. Phones will perform a resync automatically at the end of the night around 10:00-11:00 p.m. CST. To see this change immediately, you can reboot the phones.
If the phones use contacts synced from Stratus, the user's name should automatically update after the phone's resync or get rebooted.
IMPORTANT: If you have a Hosted or Managed Directory that has been uploaded to your phones, the Hosted Directory will need to be updated by our Technical Support team. Please email support@spectrumvoip.com for additional assistance.
A hosted directory is an alternate method of creating a directory for the phones. Setting up this form of a directory involves a spreadsheet that has been filled in by your company so that contacts are shown through the Local Directory of your desk phones.
If your phones use the Remote Phonebook and names already update themselves, then there is not a need to contact support.
